Path
On-Premise
Power Query Editor |
How to Troubleshoot Why Power BI Is Not Refreshing
This post is summarized from the Lin Davoy channel, walking through how to track down the reason Power BI keeps showing old data even after hitting Refresh. In practice, working with dashboards day to day, this is one of the most common and frustrating issues, because the cause is often not the report itself but somewhere else in the pipeline that is not immediately visible. This article lists the checkpoints to work through, in order, before blaming Power BI itself.
First, Confirm Whether the Refresh Actually Succeeded
The first step should always be checking the Refresh History in the Power BI Service, rather than just eyeballing whether the numbers look different. Sometimes a refresh completes successfully but the source data simply has not changed, and other times a refresh silently fails without anyone noticing. Checking this log immediately rules in or out whether the issue is the refresh process or the source data itself.
A Common Culprit: Data Source Credentials or Paths Changing
One of the top causes of a failed refresh is an expired password or access permission on the data source, especially when the connection requires periodic re-login. Another is a source file, such as an Excel workbook, being moved, renamed, or deleted without anyone realizing, leaving Power BI unable to locate the file or connect to the database, even though nothing is actually wrong with the report itself.
Scheduled Refresh on the Service Is Not the Same as Refresh in Desktop
Many people conflate clicking Refresh in Power BI Desktop on their own machine with the Scheduled Refresh configured in the Power BI Service. The two operate independently. A successful refresh on your local machine does not guarantee the Scheduled Refresh on the Service will succeed too, so both need to be checked separately, especially for reports that have been published to the Service and shared with other people.
An Offline Gateway for On-Premise Data
If the source data lives on a local machine or an internal company server (on-premise), refreshing through the Power BI Service depends on the On-Premises Data Gateway acting as the bridge. If the machine running the gateway is turned off, disconnected from the network, or the gateway service has stopped without anyone noticing, the refresh will fail immediately, with nothing wrong with the report at all. This is easy to overlook because it does not live directly inside the Power BI screen.
A Visual Not Updating Because of a Stuck Filter or Bookmark
Sometimes the data genuinely has refreshed, but a specific visual on the report page appears unchanged. The cause may have nothing to do with refresh at all, but rather a filter or bookmark left in a stuck state, causing that visual to keep rendering under the same old condition. A quick way to check is clearing all filters or returning to the default bookmark and seeing whether the numbers change.
| Symptom | Possible Cause | First Fix to Try |
|---|---|---|
| Data in Desktop does not change after Refresh | Source data has not actually changed, or the query still points to an old file | Check the source file directly and inspect the query in Power Query Editor |
| Scheduled Refresh on the Service fails | Expired credentials, an offline gateway, or a changed file path | Check Refresh History and read the error message in the Service |
| A report shared with others is not updating | Viewing a different workspace, or an old version left published | Republish the latest version and confirm the refresh succeeded before publishing |
| Some visuals do not move even though data changed | A filter or bookmark is stuck in an old state | Clear all filters, or return to the default bookmark |
Practical verdict: when a report looks like it is not updating, do not immediately assume Power BI is broken. Work through the checkpoints in order: start with Refresh History, then the data source and credentials, then the gateway if the data is on-premise, and finish by checking filters and bookmarks on the visual itself. Following this sequence gets you to the real cause much faster.
