🇹🇭 Basic Power BI ตอนที่ 5: วิธี Save ไฟล์และแชร์ผลงาน

มาถึงตอนสุดท้ายของซีรีส์ Basic Power BI แล้วค่ะ หลังจากที่เราเตรียมข้อมูลและทำกราฟจนพึงพอใจแล้ว ขั้นตอนสุดท้ายคือการเซฟไฟล์และแชร์ผลงานให้คนอื่นดู ซึ่งมีทั้งแบบฟรี 100% และแบบที่ต้องซื้อไลเซนส์ มาดูกันว่าแบบไหนเหมาะกับใคร (สรุปจากคลิปของช่อง Lin Davoy)

เซฟไฟล์เป็น .pbix — ฟรี 100%

วิธีเซฟง่ายมากค่ะ ไปที่ File > Save As แล้วกด Browse จะขึ้นหน้าจอเซฟแบบปกติ ตั้งชื่อไฟล์ได้เลย ไฟล์ที่ได้จะเป็นไฟล์ Power BI นามสกุล .pbix ค่ะ และขอย้ำอีกครั้งว่าทุกอย่างที่สอนมาในซีรีส์นี้ใช้ Power BI Desktop ซึ่งฟรีทั้งหมด 100% ไม่ต้องซื้ออะไรเลย

แชร์ไฟล์ให้เพื่อน — ส่งเมลหรือวางบนไดรฟ์ได้เลย

อยากส่งผลงานให้เพื่อนหรือหัวหน้า ก็เอาไฟล์ .pbix ไปวางบน OneDrive หรือแชร์ไดรฟ์ หรือส่งอีเมลได้เลยค่ะ ขอแค่ปลายทางมีโปรแกรม Power BI Desktop ก็ดับเบิลคลิกเปิดดูสิ่งที่เราทำได้ทันที

ข้อควรระวัง: สิ่งที่ผู้รับไฟล์ทำไม่ได้คือกด Refresh หรือ Transform Data ค่ะ เพราะข้อมูลมันผูกอยู่กับไดรฟ์ของเครื่องเรา พอเพื่อนกดรีเฟรช โปรแกรมจะวิ่งไปหาไฟล์ต้นทางในเครื่องเขาซึ่งไม่มี ก็จะ error นะคะ แต่ในการทำงานจริงส่วนใหญ่เราส่งรายงานให้หัวหน้าดู หัวหน้าไม่ต้องรีเฟรชอยู่แล้ว เห็นข้อมูลชุดเดียวกับเราก็เพียงพอ เพราะฉะนั้นถ้าไม่อยากเสียเงินซื้อไลเซนส์ วิธีนี้คือคำตอบค่ะ

Publish ขึ้น Power BI เว็บ — ทำไมถึงควรจ่าย?

อีกทางเลือกคือกด Publish to Power BI ส่งรายงานขึ้นไปอยู่บน Power BI เว็บ (workspace ของเรา) ซึ่งเป็นเวอร์ชันที่ต้องเสียไลเซนส์ค่ะ แล้วทำไมต้องจ่ายในเมื่อใช้ฟรีก็ได้? เหตุผลหลักมี 2 ข้อค่ะ

ข้อแรก — ตั้งเวลารีเฟรชอัตโนมัติ (Scheduled Refresh): เวลาอัปโหลดขึ้นเว็บ เราจะได้ 2 อย่างคือ Report กับ Model ซึ่งตัว Model นี่แหละที่กดรีเฟรชได้ กรณีที่งานเราต่อกับ SQL Database และรีเฟรชทีหนึ่งใช้เวลา 2-3 ชั่วโมง เราสามารถตั้งเวลาให้ระบบรีเฟรชให้ทุกวันตอนไหนก็ได้ ตื่นมาก็เจอข้อมูลใหม่สดเสมอ หรือจะให้รีเฟรชเสร็จแล้วส่งอีเมลแจ้งเราก็ยังได้ค่ะ

ข้อสอง — คุมสิทธิ์การมองเห็น (Row-Level Security): สมมติเรามีเซลส์หลายคน อยากให้เซลส์แต่ละคนเห็นเฉพาะข้อมูลสาขาของตัวเอง ไม่ควรเห็นสาขาอื่น เราสามารถล็อกได้เลยว่าอีเมลนี้ดูได้เฉพาะข้อมูลของตัวเอง ทุกคนใช้ data source ตัวเดียวกันแต่เห็นไม่เท่ากันค่ะ

Welcome to the final episode of the Basic Power BI series. Once you are happy with your charts, the last step is saving the file and sharing your work — and there is both a 100% free way and a licensed way. Here is how to choose. (Summarized from a video on the Lin Davoy channel.)

Save as .pbix — completely free

Saving is simple: go to File > Save As, click Browse, and the usual save dialog appears. Name the file whatever you like — you get a Power BI file with the .pbix extension. Worth repeating: everything taught in this series uses Power BI Desktop, which is 100% free.

Sharing the file — email or a shared drive works

Want to share your work? Drop the .pbix file on OneDrive or a shared drive, or email it. As long as the recipient has Power BI Desktop installed, they can double-click and see everything you built.

One caveat: the recipient cannot hit Refresh or Transform Data. The data source is bound to a path on your machine, so refreshing on their machine points to a drive that does not exist for them — it will error. In practice this rarely matters: you usually send a report to your boss, who should see the same data you do, not refresh it. So if you do not want to buy a license, saving and sending the .pbix file is the answer.

Publishing to the Power BI service — why pay?

The other option is Publish to Power BI, which sends the report to your workspace on the Power BI web service — the version that requires a license. Why pay when free works? Two big reasons.

First, scheduled refresh. When you upload, you get two items: a Report and a Model — and the Model is what can be refreshed. If your report connects to a SQL database and a refresh takes two or three hours, you can schedule it to run automatically every day, wake up to fresh data, and even have it email you when the refresh finishes.

Second, row-level security. Say you have several salespeople and each should only see their own branch. You can lock it down by email address so each person sees only their own slice, while everyone shares the same data source.

Practical takeaway: while you are learning, stick with the free Power BI Desktop — save as .pbix and share the file. Consider a license only when multiple people work off the same data, you need automatic refreshes, or you need to control who sees what.
