What is Power Automate?
Power Automate (https://www.microsoft.com/en-us/power-platform/products/power-automate), previously known as Microsoft Flow, is an online service provided by Microsoft that enables users to create automated workflows between their favorite apps and services. This powerful tool allows for seamless integration and automation of repetitive tasks without the need for coding expertise. Users can automate tasks such as moving data between systems, sending notifications, and synchronizing files across different platforms like Microsoft 365, Dynamics 365, and even third-party services like Google Sheets, Salesforce, and Twitter. By utilizing triggers and actions, Power Automate helps streamline business processes and boosts productivity, making it an essential tool for both personal and professional use.
Type of Flows in Power Automate
Cloud Flow: This type of flow is designed to trigger automation processes automatically, either instantly or on a scheduled basis. It is particularly useful for tasks that need to be executed in real-time or at specific intervals. For example, you can set up a Cloud Flow to send notifications or update records based on certain triggers like the receipt of an email or a change in a data field.
Desktop Flow: Desktop Flow focuses on automating tasks on the web or desktop environment. This is ideal for repetitive tasks that you perform on your computer, such as data entry, file management, or running specific applications. By automating these tasks, you can save time and reduce the risk of human error.
Business Process Flow: Business Process Flow is designed to create guided workflows for your business processes. This type of flow helps standardize procedures and ensure that all steps in a process are followed correctly. It is particularly beneficial for complex processes that require multiple stages, approvals, or interactions between different departments. By using Business Process Flow, organizations can improve efficiency, compliance, and overall workflow management.

Cloud Flows
Let’s focus on the cloud flow, these are the triggers for cloud flow.
Automated Flow allows users to create automations that are triggered by specific events. This feature is particularly useful for tasks that need to be initiated in response to actions such as receiving an email or updating a record, ensuring timely and efficient workflows.
Instant Flow, on the other hand, enables users to start an automation with the simple click of a button. This type of flow is perfect for tasks that require immediate action, providing a quick and easy way to execute processes on demand.
Lastly, Schedule Flow offers the ability to schedule automation on a regular basis, such as daily or monthly. This ensures that routine tasks are performed consistently and without manual intervention, thereby enhancing productivity and reducing the likelihood of human error.

Power Automate Use Case in Real-Life
I always conduct training as a Microsoft Certified Trainer. I usually want to give the slide after the class so people can focus on the content in the class. What I usually do is send the slides after they’ve submitted my class feedback. To avoid doing this manually, I set up Microsoft Forms and Power Automate to help me.
- When we’re training, the last slide will be this slide where people can give us feedback about training. They can scan the QR code to the feedback form.

- The feedback form is just a normal Microsoft Form with all the questions we want to ask. However, we have the 2nd page with one question to ask for their email to send


- After the form is submitted, the data is sent to Microsoft Excel Online and we can use it for Pivot Table to see the performance by date / by class.

- The training slide(s) in PDF will be saved in SharePoint Folder. So, after the submission, Power Automate will go fetch the file(s) and attach it to the email to send each of the students in the email they submitted.
